finishing up working on last min
things for the Baldwin-Wallace outing on Monday. The Westfield bank has an
outing tomorrow, this is not a retail event that Jason is in charge of but being
a in house event, we will be on hand to help.

Today, I received the parings list
of golfers for the Baldwin-Wallace College golf outing coming up on Monday. (116
golfers)  so most of the day I
spent working on the computer in the tournament expert program making
scorecards, cart signs, proxy signs and running my reports to get ready Mondays
event.

*Tournament expert is the program that I
use to build the scorecards and make most of the signage for outings. I get a
list of players create an excel spread sheet and import that into tournament
expert. It is a neat program it allows me to get creative and adds a personal
touch to our retail events.

welcomed a new intern this morning
Megan who will be interning with Grace Harrison. We will be working together on
different projects this summer. Today I spent a few hours paying some bill for
the country club to some of our outside vendors i.e. Taylor Made, Titleist, and
other similar bills, I found paying thousands of dollars in bills that are not
mine is actually fun. The rest of the afternoon I contained to negative my way
  through Jonas Software.

*Jonas is a program that Westfield uses to
operate the many sectors of hospitality it allows everyone spread all over the
Westfield grounds to book events, reserve room, different kitchens
etc. so that everyone is on the same page and so things do not get
doubled booked. Jonas has all the logistics along with the Sales person and
information in the BEO so the information can be shared.
If someone has a question all one needs to do is look at the BEO and find
the answer they are looking for, if they can not find what they are looking for
they can contact the sales person in charge of that particular event.  * when I refer to building a BEO I mean
plugging information in the program/ booking, reserving all the different rooms
we will need that day to make the event a success. Events are all different
sizes some are small and only require minimal reservations and room other are
large and require lots of different rooms and services. A few of the most
common that I deal with booking, North or South golf course, the Firemark grill
room, the pavilion ( for meeting or cook outs), the cart barn, the comfort
stations on the courses, beverage carts, the Blair center, and many other rooms
  or services.

Came to work an hour early (7am) to
help setup and get ready for the outing. Today was a very busy but exciting day.
I was able to see everything come together to make the outing a success.  After helping the event staff set up
registration tables and the breakfast buffet. I joined Jason (my leader) at the
kiosk to check in the golfers as they arrive and direct the cart barn personal
where to put the golf bags.  This
is a great opportunity to meet high profile guest along with the contact person
for the particular event to make sure everything is running smooth and to make
any last minute changes. After the shotgun start we assist in making sure the
golfers get to their right starting hole. When things settle down I returned to
my desk and started working on building a Banquet Event Order (BEO) for upcoming
events. Throughout the day Jason and I would drive a golf cart on to the course
to check with the contact person to make sure everything was ok, and so we
could track pace of play and relay that information to the event staff along
with the kitchen so they could plan accordingly. This was one of the best days
yet, it was nice being outside and away from my desk along with interacting
with guest to make sure their experience at Westfield was a pleasurable
one.

May
10th- 11th
Feeling comfortable in my role and
responsibilities, today I am working on Golf operations for Mondays Golf outing
the Karen Stevens Memorial for 88 golfers on our historical south course. I am
building charts signs, personalized scorecards with names and company’s logo
along with proxy markers and running reports.  I had a last minute request to make
personalized name tags our guests in the locker room. One thing that is very
important here at Westfield in the hospitality sector is attention to detail no
matter how big or small the detail. On a side note before I leave for the
weekend I signed up for the company golf league, where I feel I will be able to
network and enjoy the amenities of the country club.

May
8th- May 9th
First real day at Westfield Country
Club, getting settled into our offices, meeting the team leaders (Mangers) that
I will be working closely with for the entirety of the internship. Autumn Keller
General Manager, Jason Martin, Sales and marketing coordinator, Grace Harrison
Sales and Membership Coordinator, Chad Seymour Head PGA Golf Professional. Then
Jason gave me a tour of the facilities, the North and South Golf Course, the
Blair Center (Westfield Group Banquet Center) the Pool and Tennis area along
with our Firemark Grill room and the pavilion where we host events.
Once settled in it was time to get my Computer and phone set up which
meant many phone calls to the I.T. Help desk over the next few days.  These last couple days after getting the
computer glitches taken care of I spent time learning the computer software
programs (Jonas and Tournament Expert) that I would be using throughout the
internship.
